BANK STATEMENT CSV VS EXCEL

Choose the export for your next step.

Use XLSX for spreadsheet review and calculations. Use CSV when a destination asks for a plain transaction table. The choice changes how dates, numbers and formatting travel—not whether the extracted transactions are correct.

01 / FORMAT COMPARISON

Same reviewed rows. Different file behavior.

Standard CSV and XLSX both contain Date, Description, Amount, Currency and Review status. Rows marked excluded are omitted; unreviewed rows are not automatically excluded. Current exports support USD.

What mattersCSVExcel / XLSX
Data typesText fields. Your destination decides how to parse dates and numbers.Excel date cells, numeric amounts and text descriptions.
DatesStandard Stmtio CSV uses YYYY-MM-DD. Check the import preview.Dates display as yyyy-mm-dd and remain date values.
FormulasNo workbook formula or formatting metadata. Spreadsheet applications may interpret formula-like text. Can hold formulas added during analysis. Stmtio exports transaction values, not formulas.
Review and formattingFive column headers and values. No frozen rows or stored filters.Transactions worksheet, frozen header row and enabled filters.
ImportUse the exact columns and delimiter the destination requests.Use only when the destination explicitly accepts XLSX and its column layout.
PortabilityPlain comma-delimited UTF-8 with a BOM. Useful for scripts and text inspection.Requires software that reads XLSX. Better for spreadsheet handoffs with value types.
Recommended useA defined import pipeline or a plain transaction table.Spreadsheet review, calculations and an accountant handoff.

02 / DESTINATION MATRIX

Ask what the receiving workflow expects.

A file that opens in a spreadsheet is not necessarily accepted by a bookkeeping importer. These are workflow recommendations, not a tested compatibility list.

Excel review or analysis

XLSX

Dates and amounts already have cell types. Check row counts and signs before calculating.

Accountant handoff

Agree on XLSX or CSV

Ask which columns and file type their workflow needs. Include the original statement through a secure channel if required.

QuickBooks Online bank upload

Dedicated QuickBooks Online CSV

Not the standard five-column CSV. Check dates, mapping and signs in your account preview.

A script or another bookkeeping importer

CSV if explicitly supported

Validate its headers, date order, encoding and amount convention with a small reviewed file.

For QuickBooks, follow the upload guide and three-column format reference. The dedicated export uses MM/DD/YYYY and a single signed Amount column. Check your region and import preview; this does not establish QuickBooks Desktop compatibility.

03 / SYNTHETIC EXPORT EXAMPLE

Check the values behind the display.

These two invented bank transactions represent $2,400.00 in and $86.50 out: net activity of $2,313.50. They are not real customer records.

Standard CSV: copyable text

Date,Description,Amount,Currency,Review status
2026-03-02,Client payment,2400.00,USD,confirmed
2026-03-03,"Office supplies, paper",-86.50,USD,confirmed

The file includes a UTF-8 BOM, not shown in this snippet. A quoted description keeps its comma inside one field. Import the Date column using its known YYYY-MM-DD order and Amount as a number.

XLSX: typed workbook cells

Date
March 2 and March 3, 2026 are date values displayed as yyyy-mm-dd.
Amount
2400.00 and -86.50 are numeric cells with two decimal places.
Description
Text is preserved as text, including the comma in “Office supplies, paper”.
Workbook
One Transactions worksheet, frozen row 1 and filters. No analysis formulas are generated.

Stmtio prefixes formula-like descriptions in CSV with an apostrophe, and explicitly writes XLSX descriptions as text. Recheck formula-like content after editing or resaving in another application; the original export safeguards do not guarantee later transformations.

04 / BEFORE HANDOFF

Verify the saved file, not just the preview.

  1. Review transaction dates, descriptions, signs and page boundaries beside the original PDF. Use the review checklist.
  2. Export a small representative set. Compare row count and net activity with your reviewed data. Do not include balance or summary lines as transactions.
  3. Open or import a working copy. Check ambiguous dates, negative amounts, decimal separators and descriptions with commas. Renaming an extension is not conversion.
  4. For a destination import, inspect its mapped columns and preview before confirming. Avoid overlapping a bank feed or previously imported period.
  5. Keep the original PDF and untouched export. Add formulas or edits in a separate working copy so you can trace changes.

COMMON QUESTIONS

Before choosing a format.

Is CSV less accurate than Excel?

The file type does not fix extraction errors. Both exports use the transaction values reviewed in Stmtio. A downstream program can still misread a CSV date or amount, so check the saved file and import preview.

Does Stmtio export spreadsheet formulas?

No. The current XLSX export contains transaction values, date and number formats, filters and a frozen header. Add your analysis formulas in a working copy after checking the data.

Is the standard CSV ready for QuickBooks Online?

Use the separate QuickBooks Online CSV export, which writes Date, Description and Amount with MM/DD/YYYY dates. The standard CSV has five columns and ISO dates. Verify compatibility in your exact QuickBooks account before confirming an upload.

Can I rename CSV to XLSX?

No. Changing a filename extension does not convert its contents. Choose the intended export in Stmtio or import the CSV into a spreadsheet and save a real workbook.

Format details were checked against Stmtio 0.1.0's CSV and XLSX export implementation on October 8, 2026. The synthetic values were checked through both exporters. We have not tested these examples in every spreadsheet application or a live bookkeeping account. Neither format certifies the underlying extraction's accuracy.

LOCAL EXTRACTION AND REVIEW

Review once. Export for the next step.

Stmtio processes bank statement PDFs, extracted text and transactions on your computer, with side-by-side PDF review and CSV/XLSX export. Sign-in, subscription and page-allowance checks require online services. Sending an exported file to another service is a separate choice.
