QUICKBOOKS ONLINE CSV GUIDE
Import a bank statement CSV into QuickBooks Online. Check the file first.
Convert and review your bank statement in Stmtio, export its dedicated three-column QuickBooks Online CSV, then upload that file to the correct account. The key checkpoints are the date format, amount direction and transactions already in QuickBooks.

01 / PREPARE IN STMTIO
Export the right three columns.
Import a digital or scanned statement PDF into Stmtio. Compare the extracted transactions with the source PDF, correct dates, descriptions and signed amounts, and exclude any rows that should not be exported. The review checklist helps catch missing or duplicated rows before handoff.
In the export menu, select QuickBooks Online CSV—not the standard CSV or Excel option. Stmtio writes Date, Description, Amount, with dates in MM/DD/YYYY, expenses as negative values and income as positive values. The current export supports USD. Excluded rows are omitted. This is a local file; Stmtio does not upload it to QuickBooks for you.
The standard Stmtio CSV instead has five columns and ISO dates. See the CSV export guide if you need that format for another destination.
| Date | Description | Amount |
|---|---|---|
| 03/02/2026 | Client payment | 2400.00 |
| 03/03/2026 | Office supplies | -86.50 |
Illustrative transactions only. The sample shows Stmtio's three-column layout and sign convention; it is not proof of a completed QuickBooks import.
BEFORE YOU UPLOAD
Four quick checks prevent a messy import.
- Pick the destination account.Confirm the intended bank or credit card account in QuickBooks. Do not mix transactions from different source accounts in one file.
- Check the existing date range.Review what the bank feed or an earlier upload has already brought in. Intuit specifically warns users to check the chart of accounts and existing transactions to avoid duplicates.
- Inspect dates and signs.Stmtio's QuickBooks CSV uses MM/DD/YYYY. Check that QuickBooks interprets the month and day correctly, and that at least one expense and one income row have the expected direction.
- Keep a small first batch.Choose a representative period and compare its row count with the original PDF. Intuit's current US guidance says list uploads may include up to 1,000 transaction lines and the file must be 350 KB or less; split larger exports.
02 / UPLOAD IN QUICKBOOKS ONLINE
Map the file before confirming it.
These menu names follow Intuit's US QuickBooks Online instructions checked October 3, 2026. Your edition or region may display different labels; use the mapping shown in your own account.
- 01
Open Bank transactions
Go to All apps → Accounting → Bank transactions. Choose the tile for the account that should receive this statement.
- 02
Choose Upload from file
Open the Link account dropdown and select Upload from file. An unconnected account may instead show Or upload transactions manually.
- 03
Select the CSV and account
Choose your exported CSV, continue, and select the correct account in the QuickBooks account dropdown.
- 04
Map, preview, confirm
Match Date, Description and Amount to the corresponding QuickBooks fields. Inspect the transaction preview, select only the intended rows, then confirm the upload.
03 / VERIFY AFTER UPLOAD
An upload is not a reconciliation.
In QuickBooks, compare the imported count, dates, descriptions and money-in/money-out direction with the original PDF and the reviewed CSV. If a period overlaps a connected bank feed, inspect possible duplicates before adding or matching transactions. Then categorize and reconcile the account.
Intuit describes three-column and four-column CSV formats, but Stmtio's dedicated export uses three columns. Do not assume that the label “QuickBooks CSV” guarantees every transaction will map or reconcile automatically.
COMMON QUESTIONS
Before the accounting handoff.
Which Stmtio export should I choose?
Choose QuickBooks Online CSV in the Stmtio export menu for Date, Description and Amount. The standard CSV has two additional columns and a different date format; do not assume it maps the same way.
Does Stmtio send my statement to QuickBooks?
No. Stmtio processes the statement PDF, extracted text and transactions locally. You choose whether to upload the exported CSV to QuickBooks Online. Stmtio sign-in, subscription, device registration and page-allowance checks do use online services.
Will a successful upload mean the books are reconciled?
No. Check the import preview, then match, categorize and reconcile transactions in QuickBooks Online. Compare totals and transaction dates with the original statement.
